2. Talk to the Insured On-Site

First conversation with the insured at the start of every on-site field service where the insured is available at the loss site.

First Impressions

The office did a great job when they first contacted the insured, making this in-person conversation much easier, as the insured should be aware of most protocols.

It's best to take a quick 5 minutes to introduce yourself as the Road Lead.  Let the insured know that they should come and find you if they have any questions at all (and tell your team to find you if the insured approaches them).  It's best to consolidate all conversations and instructions directly between the Road Lead and the Insured.

While your team is offloading the vehicles or getting prepared outside, explain again quickly to the insured what is going to transpire at today's appointment. 

Introduce Your Team

Best practices would then have you introduce your team, one by one, so they know who is about to enter their home.  If possible, have your office email the homeowner with these details, including photos of the employees, at the least the Road Lead and Assistant.  ID is always a good option to have on you, visible, when speaking to the insured.

Once you have introduced your team, you can have them begin setting up while you finish any conversations with your insured, such as acknowledgements that all firearms, jewelry, cash, etc have been removed from the property.  Go through your company checklist to ensure you have discussed and highlighted the needful.

Collect any documents which need to be signed, if they have not been collected by the office prior to your visit on-site.
